The Motor Quote That Taught Me About Total Cost (And Datasheets)

Last January, the 6:12 a.m. boiler alarm was my first clue it was going to be one of those weeks. By 7:30 I had two work orders on my desk and a text from our controls engineer asking if I’d grabbed the SG90 servo motor datasheet yet. I’m the procurement manager, not the guy who lives in torque curves. But I’m the guy who signs the POs and explains budget overruns.

Our plant runs around 200 motors across fans, pumps, conveyors, and burners. Over the past six years, I’ve tracked every motor-related order in our procurement spreadsheet—roughly $180,000 worth. That sounds obsessive, but it’s how I found out that small motor orders carry a lot of hidden weight.

The week the motors gave up

The first failure was the US Motors oil burner motor 5866. It had been running for eleven years, which is respectable for a burner motor. The maintenance supervisor said the model number was still legible on the nameplate, so we didn’t have to guess at the replacement.

The same week, the rooftop unit started making a noise that sounded like a bad bearing. It turned out to be the US Motors 1863 direct drive fan. Direct drive means the motor speed is the fan speed, so there’s no belt to absorb the issue. We needed the exact RPM and the right mounting, not “close enough.”

And because the universe has a sense of humor, engineering asked for a brushless DC motor driver for a small prototype, plus an SG90 servo motor. Then the maintenance lead asked me, “what stepper motor would you use for the indexing station?” I didn’t have a quick answer. I had a list of parts and no time to become a motor engineer.

The quote that wasn’t as cheap as it looked

We have a procurement rule: get three quotes and compare total cost, not just the big number. I sent the same line items to three distributors and waited.

Vendor A, an authorized US Motors distributor, came back at $1,785 all-in. Freight included. They also attached the datasheets: FLA values, NEMA frame sizes, and mounting dimensions. I didn’t have to ask for any of that.

Vendor B came back at $1,605. That was about 10% lower, and my first reaction was to send the PO. But when I looked at the quote, there was no freight line. I called and asked two questions: “What’s not included?” and “What’s the real lead time?”

It turned out the quote was only the base price. Freight was $295. Expedited service was $80 extra. Documentation was $140. Handling was $65. The actual total was $2,185 — $400 more than Vendor A.

I’ve learned to ask what’s NOT included before I ask what’s the price.

Vendor B wasn’t trying to trick us. They were quoting the way their system works. But the number on the front of the quote was not the number on the invoice, and that’s exactly why transparent pricing matters.

The same principle applies to servo motors and steppers

Vendor A’s extra documentation did more than justify the price. It gave us the SG90 servo motor datasheet, so we could confirm voltage and torque before the prototype build. For a small servo, that’s the difference between a working test and a motor that just hums.

It also helped with the brushless DC motor driver. The version we needed had current-limit settings and a wiring diagram. A cheaper driver without the same documentation might still spin a motor, but it’s hard to troubleshoot a moving conveyor when you don’t know what the pins do.

As for “what stepper motor” — the answer is not a brand. It’s a set of specs: step angle, holding torque, rated current, and the driver’s current limit. If a distributor asks what you’re trying to move and then sends you a recommendation with a datasheet, that’s a good sign. If they just quote a part number, be careful.

Our motor replacements are specified with NEMA MG 1 in mind, which is why the FLA values on a datasheet actually mean something. That’s not a luxury. It’s how the electricians set the overload relay. Without that information, a low price is just a guess.

What I almost got wrong

I almost skipped the three-quote policy because we were in a hurry. That’s exactly when I nearly sent the PO to Vendor B. If I hadn’t built the total-cost comparison, we’d have paid $400 more and ended up with the same US Motors oil burner motor 5866 and the same US Motors 1863 direct drive fan on the roof.

We added a question to our RFQ template: please list every fee on the first page. Some vendors blink at that. The good ones seem relieved.

In the end, the replacement motors arrived together, the fan noise stopped, the burner came back online, and the prototype moved. We even used the savings to buy a spare US Motors 1863 direct drive fan for the stockroom, because that one always fails in August.

Final thought

The lowest quote is not the lowest price until you add the details. The same goes for motor specs: a model number without a datasheet is not a motor you can trust.

A short checklist that would have saved us time:

  • Base motor price — with freight listed separately or included
  • Datasheet availability — FLA, torque, frame size, shaft dimensions
  • Lead time — standard and expedite options
  • Documentation, handling, and processing fees

One caveat: this worked for us because we have a little lead time and a maintenance schedule. If your line is down and you need a motor same-day, paying expedite fees can be the right call. I can only speak to our context—a mid-size plant with predictable MRO demand. If you’re in a 24/7 operation, your math might be different.

But the principle doesn’t change: ask what’s not included, check the datasheet, and calculate total cost before you sign.
